IkamvaYouth is a township-based volunteer programme that gets learners out of poverty through education. The organisation exists to reduce inequality in South Africa, and its track record of matric results, access to post-school opportunities, and alumni success is proof that positive change is possible.
Purpose of the Position:
The Database and M&E Administrator will assist with database administration, training and compiling M&E reports. She/he is responsible for all database “help desk” activities at IkamvaYouth which includes; providing end-users with technical assistance in resolving database issues, answering questions and diagnosing problems. He/she will implement escalation and resolution procedures, as well as train end users.
The Database and M&E Administrator reports to the Database and M&E Coordinator.
Responsibilities:
1. Administrative Support
- Troubleshoot any Ed-Admin data issues raised by staff
- Escalate unresolved issues to the Database and M&E Coordinator
- Create database profiles for new staff
- Disable access for staff who have left IY
- Create and update user guides for Ed-admin
- Termly setup of database menus: Assessment Tab, Timetables etc.
- Oversee quality and accuracy of data entered
- Monitor what staff are inputting on the database, alerting teams where there are errors or omissions
- Pick up on, query and remove duplicates
- Check menus to ensure branches are complying with programme requirements (e.g. Learner attendance entered 3 times a week, tutor attendance captured etc.)
- Data entry
- Add Database events to the IYSA calendar
- Assist in logistics and set up for in person training events hosted by Database and M&E Coordinator
- Provide expert advice and support in relation to Programmes Pilot Projects
2. Training Support
- Schedule and conduct training for new staff on Ed-admin
- Identify staff who need additional training and support
3. Reporting and Analysis
- Assist the Database and M&E Coordinator with compiling standard recurring reports (annual, termly branch, matric results)
- Assist with ad-hoc analysis and reports as and when required
- Monthly data check report
- Assist with preparing the master data
- Pulling data from the Dashboard and Ed-admin
- Follow up on their progress in completing this task
Requirements:
- National Diploma or Bachelor’s degree in related field
- Minimum of 2 to 3 years M&E experience
- Tech savvy
- Proficient in Excel
- Working knowledge of STATA would be advantageous
- Previous experience with working on a database
